The challenge / opportunity

The global claims and litigation team at a Fortune 500 energy company faced significant inefficiencies in managing legal disputes. With operations spanning several countries and over 10,000 employees, the team lacked a centralised platform to manage matters, deadlines, or outside counsel relationships. As a result, attorneys were spending substantial time manually tracking case statuses, generating reports, and chasing updates from external law firms.

The client was seeking a simple, user-friendly solution that could:

  • Organise and track litigation matters across regions and teams
  • Streamline workflows and reduce administrative burden
  • Enhance collaboration with both internal stakeholders and outside counsel
  • Automate reporting to deliver actionable insights
  • Integrate seamlessly with existing Microsoft 365 technology

The solution

In collaboration with the client’s legal, IT, and operational stakeholders, our team designed and implemented a tailored litigation matter management platform built on Microsoft 365.

Through a series of discovery workshops and interviews, we identified the core requirements and pain points across teams. This informed the development of a solution architecture document, which outlined a scalable and secure platform aligned with the client’s internal IT and governance standards.

Key features of the solution included:

  • A centralised repository for tracking case status, deadlines, and assignments.
  • Automated reporting functionality for key metrics and outside counsel performance.
  • Configurable alerts and reminders to ensure deadlines are not missed.
  • A user-friendly interface to support adoption across internal teams and law firms.

To support successful implementation, we conducted user acceptance testing and developed a change management plan, including communications and training for internal teams and external counsel.

Results and benefits

The platform delivers a single source of truth for claims and litigation matters, improving visibility and reducing inefficiencies across the business.

  • Improved operational efficiency: A centralised portal eliminates manual tracking and reporting, freeing up time for more strategic legal work.
  • Stronger collaboration: Internal and external teams benefit from shared visibility and streamlined communications.
  • Reduced risk: Automated alerts and central tracking help ensure that litigation deadlines are not missed.
  • Data-driven insights: Built-in analytics support better performance monitoring of outside counsel and informed decision-making.

This initiative marks a significant step in transforming the company’s litigation management processes, enabling more consistent, efficient, and proactive handling of legal disputes on a global scale.
